How to Open a Case
Cases are automatically opened for individual students based on the choices in the Case Management Dictionary. Those with Administrative access can make these selections.
Most of these choices are part of the case management, and those processes are outlined below. Creating Plans and Conducting Plan Reviews are part of the MTSS system, so those processes are explained in that section. Submitting Files is explained in the Student Profile.
- Submit a Form - If this item has been selected in the dictionary, the submission of a completed referral form automatically opens a case.
- Create a Plan - Plans are part of the MTSS module. If this item has been selected in the dictionary, ion will automatically open a case whenever a plan is created for a student.
- Assign a Task - Tasks are part of the case management system. If this item has been selected in the dictionary, ion will automatically open a case whenever a staff member is assigned a task for an individual student.
- Schedule a (Student) Meeting - If this item has been selected in the dictionary, ion will automatically open a case for students who are scheduled for "Student Meetings."
- Conduct a Plan Review - Plan reviews are part of the MTSS module. If this item has been selected in the dictionary, ion will open a case any time a plan review has been conducted.
- Submit a File - Files are submitted in the Student Profile. If this item has been selected in the dictionary, ion will open a case for whenever a file has been attached to a student's profile.
If a form has been created, then this is an option to choose to open a case. When a referral form has been submitted, a case will open and be viewable on the Case Management Dashboard.

To fill out a form...
- Access Tools>Forms and click on the "+NEW" OR
- the "+" and "Form Response" to access a new form
- Complete the form and click "Submit"
Consider this option if you are currently using the MTSS module.
There are two ways that plans are created in the MTSS module.
(1) Create a plan OR
(2) Bring students into an intervention group - plans are automatically generated when students are added to an intervention group
(3) As soon as the plan is created, a case will be open and visible on the Case Management Dashboard.
ion does not retroactively open cases
In order to open cases mid year for those who already have plans, select an additional option such as Schedule Meeting which will open cases for students as you meet about them.
- Tasks can be assigned to staff members.
- Staff can add notes and mark the item complete.
- The progress of these tasks will show up in the case management dashboard and
- an individual student's timeline.

Student meetings can be scheduled and modified. In either case, adding a student to a Student Meeting can open a case. To access Student Meetings, Click Tools>Student Meetings.
