SIS Data Import Process

You must have ion district administrator privileges in order to perform this task.

ion is able to import several types of SIS data. The district is responsible for formatting and validating data in a way that ion can import.

Initial Implementation

New districts should upload csv files to secure.ion-k12.com (Username and Password is in the Implementation document), then notify the support team by putting a ticket in on freshdesk, or by emailing [email protected]

After the support team has verified that the data is correct, the district may schedule a daily sFTP - sftp.ion-k12.com. The Username and Password will be provided once the initial data is validated through support.

Currently supported imports can be found here with instructions, example, and template:

  • Students - Student demographic information.
  • Users - Teachers and staff who should have access to ion.
  • Teams - Grants staff members access to entire grade level(s) of students.
  • Courses - Defines which courses at each school including the ID, name, number, department, and if it is considered a core course.
  • Sections - Defines the sections in each course.
  • Roster ("Student Sections" in the job log) - Assigns students to sections.
  • Teachers - Assigns teachers to sections.
  • Student Grades - Final course grades.
  • Behavior - Student behavior records.
  • Custom Field - Used to provide custom data fields for student records.
  • Attendance Detail - Provides absence data for individual students.
  • Enrollment Day Detail - Provides enrollment data for individual students.

Calculated percentage rates (Month, Term, Year) are determined by using the formula below.

If incorrect enrollment or absence data is provided, some database records may need to be removed and reloaded. Request through [email protected]

Manual Upload Process

If files are imported manually, they should be uploaded in the following order. Prerequisite files and dependent files need to be uploaded within 5 minutes of each other.
