You must have ion district administrator privileges to perform this task.

If needed, here is the full SWIS manual. We have the pertinent sections below.

Enabling SDEX Access
  1. Navigate to pbisapps.org and log in to your SWIS account.
  2. Click on each school and go to school settings.
  3. On the SWIS tab, set "District SDEX Access" to Yes
  4. Copy the SDEX access code

The school must have already granted permission on the original SWIS "page 6" consent form to share data with the district.

Enabling Integration on the SDEX site
  1. Log in to sdex.swis.org using the same password as pbisapps.org.
  2. Navigate to the schools tab and click on Add. Enter the school's access code that was copied from step 4 in the previous section.
  3. Repeat this process for each school.
  1. Navigate to the Batches & Downloads tab.
  2. Click Add.
  1. Give the batch a name by typing the name in the Batch Name field.
  2. Select CSV v2 from the Download Type drop-down menu.
  3. Type a security code for the batch in the Security Code field.
  4. Select the earliest date from which data will be included in the file.
  5. Select yes to include in the file:
    1. Student/Staff Names
    2. School NCES ID
    3. Other, Extra Info, and Custom Fields
  6. Check the box next to the name of authorized schools to add them to the batch.
  7. Click Add to add the batch.
Enabling Integration in ion

SWIS comes equipped with a URL for every batch to setup automatic downloads.

To view the URL for any batch on the batch list:

  1. Click on the Batches & Downloads tab.
  2. Click to select the batch to download.
  3. Click Auto Download URL.
  4. A screen appears with the URL for the selected batch.
  5. Paste the Auto Download URL of the batch into the iSWIS Data Integrations Page in ion.
  6. Download a copy of the file and open it.
Configuring schools in ion to include SWIS data

In order to use the SWIS integration, the school definitions must be updated to include the SWIS School ID#.

To find the SWIS school ID's:

  1. Open the file that was downloaded from SWIS in the previous section.
  2. There are no file headers, but use deductive reasoning to determine which column holds the SWIS ID for each school. Looking up a few students from each school might be a helpful way to determine the school SWIS IDs.

Please note: the SWIS ID is not the number that is located on the main page of the pbisapps.org website. You can only find the SWIS ID for each school in the downloaded file.
