Customer Success, Training, Support and Development

Welcome to the ion family!  Our team is ready to assist you with your new software system.  After implementation, you will be working mainly with three branches of our company:

Customer Success - Our customer success team will meet with your team on a regular basis.

Training - Our training team is ready to train your staff.

Support and Development - Our Support and Development Teams work together to continuously  improve the software experience.

Customer Success

Customer Success meets with your district team regularly to plan goals for your district.

Although Customer Success does not work on support calls, the team can assist with managing work flows within our Support, Development and Training Departments.

The Customer Success Team can assist district teams with the following:

1. Assessment Management

Are you considering adding more assessments?  Retiring some assessments?  Wondering about creating a direct sync from a vendor to ion?  Wanting to add more data walls and dashboards?  Customer Success can guide these questions to the right department to ensure a smooth transition.

2. Module Roll Out

Are you ready to use Case Management, MTSS, etc?  Customer Success can connect you to the Training Department and assist in outlining steps to prepare you and your staff to use additional modules in ion.

3. Training Staff  

Are you ready to train new or existing staff on using ion?  Customer Success can assist you with a training plan that will effectively roll out new information to your staff.

*Administrative Setup-  During the implementation process, we will have a 30-45 minute informational overview of administrative functions.
NOTE:  These are Administrative Task functions.
Review ion district system administrator tasks:   Security Management, End of Year Tasks, Dictionary Management (module setup), Data Management and Troubleshooting


Security - This 30-45 minute training takes place during the implementation process and before Bootcamp Training to ensure staff access before training.
NOTE:  This is an Administrative Task function.
Learn how to set up permissions and security for staff in ion:  (1) Create ion district administrator roles (2) Troubleshoot ion permission settings (includes how to impersonate users) (3) Create new roles (4) Create teams  (5)  Create permissions within roles 
Bootcamp - This 60 minute overview of ion navigation of data systems occurs when implementation has been completed. It is designed both for those new to the system and those in need of a refresher.
Prerequisites:  Security Training has been completed.  Data walls and Dashboards are ready for staff to view.
Overview of data walls, dashboards, student profile, and basic navigation tips. (1) Log in and navigate to school (s) (2) Use online User's Guide and Support widget (3) Navigate basic Homepage functions (4) Navigate to the Student Profile (5) Navigate to Dashboards and Data Walls and become familiar with their functionality
Core Data Review - This 60 minute course focuses on the Team Meetings form in ion and uses appreciative inquiry methodology and district data to complete a Team Meeting form. It is designed for districts who would like to conduct a 100% meeting with their staff in ion.
Prerequisites Bootcamp Training has been completed, and District Dashboards are ready for 100% meetings.
Coach team through a 100% meeting using Dashboards and the Team Meeting Form in ion.  (1) Use Team Meeting Form and  Appreciative Inquiry methodology to ensure all voices are heard and to find effective goals to improve student skills (2) Copy/paste dashboards into the form (3) Learn form functions - Create, Save, Locate, Review, Edit
*Case Management Consult and Set up - This consultation is designed for those interested in using the Case Management functions in their district. We will overview the system and assist in security management and dictionary set up before rolling out the system to the staff.
Prerequisites:  Bootcamp Training has been completed. Staff is familiar with viewing Data Walls / Dashboards.
NOTE:  This is an Administrative Task function - ion recommends those with Administrative Access and those who have case leadership roles for students attend these consultations.
Overview Case Management System and discuss requirements for dictionary setup.  (1) Review and set up the referral system (2) Review the Student Meeting functionality (3) Turn on Case Management (4) Create Case Management dictionaries (5) Set up Case Management security to manage cases
Data Wall Functionality & Student Profile Overview - This 60 minute training reviews the basics learned in Bootcamp Training and dives more deeply into the Data Wall & Student Profile functions.
Prerequisites:  Bootcamp Training has been completed.
NOTE: Let us know if staff has information to add to notes, documents, parent contacts, etc.  Staff can engage in these tasks for a "workshop" style training.  
Dive into Data Wall and Student Profile Functions.   (1)  Sort data walls, (2) Create data wall groups**(3) Add notes/tags/flags for students (4) View assessment details (5) Create dashboards (6) View individual historical info rmation (assessments, attendance, behavior, etc) (7) use parent contact form (8) Review notes (9) record student observations, (10) upload documents, (11) delete/add tags (optional)  
Case Management: This 60 minute training focuses on learning the Case Management system - from referral to managing cases.
Prerequisites - Bootcamp Training and Case Management Set Up has been completed.
Learn how to make student referrals, schedule meetings, and to conduct SIT/SST meetings in ion.  (1) Refer students & view referrals (2) View individual cases (3) View a school caseload (4) Create, conduct, view and save notes for SIT/SST meetings
*MTSS Consultation & Set Up - This consultation is designed for those interested in using the MTSS system. We will overview the system and to assist in set up before rolling out the system to the staff.
Prerequisites:  Bootcamp Training has been completed. Staff is familiar with viewing Data Walls / Dashboards.  
NOTE:  This is an Administrative Task function. ion recommends that this training include those with Administrative Access and those who have MTSS leadership roles attend these consultations.   
Overview MTSS System and discuss requirements for dictionary setup.   (1) Review the district's interventions, skills monitored, and progress monitors (CBMs) used to monitor skills  (2) Build the dictionaries for skills, progress monitors (CBMs), and interventions (3) Set up security and permissions for staff using MTSS (4) Data implementation and mapping for benchmarks and progress monitoring (5) Review the MTSS system and make decisions on how districts will create intervention groups and enter progress monitoring and other student information.
Creating Data Walls - This 60 minute workshop is designed for those interested in creating and/or editing their own data walls.
Prerequisites:  Bootcamp Training has been completed. Staff is familiar with viewing Data Walls / Dashboards.
Learn the basics of creating and editing data walls!  (1) Copying / Creating / Editing Data Walls (2) Changing folder access (3) Using filters and color bands (4) Adding, editing, copying and deleting wall columns (5) Grouping and moving data wall columns (6) Creating a dashboard from a data wall (7) Renaming data walls and folders  **(8) Differences between filters and columns and how to add/filter tags, flags, and custom fields to data walls
Creating Dashboards - This 60 minute workshop is designed for those interested in the basics of dashboard editing.
Prerequisites:  Bootcamp Training has been completed. Staff is familiar with viewing Data Walls / Dashboards.
Learn the basics of creating and editing dashboards!  (1) Review how to create a dashboard (2) Adding/removing data from dashboard charts (3) Disaggregating charts (4) Changing folder access (5) Changing chart types - the basics
Creating Plans & Intervention Groups: This 60 minute session is designed teach staff how to create and manage intervention groups. We will do this after the district has completed their MTSS implementation.
Prerequisites:  Bootcamp Training and MTSS Consultation & Set Up has been completed. Staff is familiar with viewing Data Walls / Dashboards.
Learn how to create plans and intervention groups in order to add scores and view skill graphs. (1) Create plans/intervention groups (2) Add students and skills to intervention groups   (3) Add progress monitoring scores (4) Create goals (5) Enter plan notes (6) Navigate the MTSS module
Student Plan Review:  This 60 minute session is designed to teach staff how to view intervention data and take the next steps to end interventions or move students to other groups.
*Prerequisites: Bootcamp Training, MTSS Consultation & Set Up, and Creating Plans & Intervention Groups has been completed.  Data has been entered into student skill graphs to review. Staff is familiar with viewing Data Walls / Dashboards.  
Learn how to view MTSS data and to end / change intervention plans and goals for students.
(1) View student plan and cohort data (2) Change goals (3) Change/ end an intervention for an individual student or a group (4) Add/delete students from intervention groups
*Tags, Flags, and Custom Fields - (1) A 30 minute informational overview of tags, flags and custom fields to learn the key differences of these unique designations. (2) Training to create and implement will take an additional 30 minutes.
(3) If ion will train the staff to use these features, share district guidelines to use during training. Roll out to staff typically occurs during **Data Wall Functionality & Student Profile Overview and Creating Data Walls.  
Prerequisites: Bootcamp Training and Staff is familiar with viewing Data Walls / Dashboards.  
NOTE:  Tags and Custom Fields are Administrative Tasks.  
(1) Learn how Tags, Flags and Custom Fields work in ion in order to decide if these will work in your district. 
(2)  When the district decision has been made to move forward, learn how to create, add, and delete them. 
(3) Decide on next steps for training

End of Year Tasks: In this 60 minute session, users learn how to prepare for the New School Year.
NOTE:  This is an Administrative Task function.
Learn what tasks are required / suggested to be performed in ion before the new school year begins.  (1) Close plans and intervention groups (2) Set up the new school year (3) Review and edit assessment dictionary as needed (4) Review and edit permission settings as needed
Importing and Managing Data - In this 60 minute session, users learn the basics of data management and maintenance.
NOTE:  This is an Administrative Task function.  It is recommended that only those with Administrative Access who have completed implementation and now want to add/delete assessments to ion attend this training.    
Learn how to import SIS and assessment data as well as basic troubleshooting steps for uploads.  

Webinars

Throughout the year, ion will offer webinars which are free to our customers.  This is a great way to engage in free professional development with our partners throughout the United States.  Both current and recorded webinars are found on our Fusion site.  Click https://fusion.ion-k12.com/ to join Fusion.

Support Team

The Customer Support Team is comprised of several staff members who can assist with the following:

Assessment Management

(1) After initial implementation, customer support is contacted to manage new and existing assessments

(2) If an assessment is not uploading correctly, contact customer support to trouble shoot

(3) Customers can also view our online support for Importing and Managing Assessments .

ion Not Functioning as Expected

When using ion, if the functionality is not as expected, use the widget on the lower left hand side to thoroughly describe the issue as it currently exists and describe what is expected to occur when it is fixed.  View Contacting Support.

Feature Requests

When using ion, you may wish to enter a feature request for a desired outcome.  Be sure to thoroughly describe what currently exists and as well as what the desired outcome would look like when the feature enhancement has been put through.  

 

Contacting Support

To contact our support department, use the widget in the lower left hand side of the screen.  Once you click the widget, the ion support request will populate. Be sure to enter the details that allow the support staff to respond quickly to your ticket.

1. Subject - enter the the module / application you are using:  Examples - Student Profile, Homepage, Data Wall/ Dashboard, Case Management, Forms, Security, etc.

2. Support Type/Priority - Enter using the drop down menus.

3. Description -

(a) State the current issue as it exists

(b) Explain what the expected result/behavior is.  

(c) Include all necessary details: name of student, school, data wall, assessment, name of color band, url, etc.  Our support team will be replicating the issue and working on solutions that fit the expected result / behavior as you describe it.

4. Pictures/Screenshots/Videos - Click to use the functionality to take a screen shot or use the upload function to upload more than one picture.  You can also send a video.  

Development

Our Development Team works on continuously improving the ion experience.  Any changes will be reflected in the Change Log.  If there are significant changes, we will send out an additional update in our Fusion communication.  To join our Fusion community, sign up at https://fusion.ion-k12.com/.

Change Log

The Change Log is a communication tool for ion and its customers as ion "logs" the "changes" made to the ion system in this area.  

1. To access the recent Change Log, access Help Center by clicking the "?" icon on Homepage or the "?" under the "Me Button."  Then, Click "Updates."

2. To subscribe to the Change Log and receive email updates, "Click Here to Subscribe."

3. Click "Subscribe to Updates" and enter your district email address.

4. To unsubscribe, click "Unsubscribe to Updates".
