Student Plans - Creating, Viewing, Closing

Overview

Think of a student plan as a container that houses all skills a given student is working on at a given time. A plan will contain skills, progress monitors, goals and interventions for a skill.  Plans can be created in several ways.

Creating New Plans

There are two ways to create a new plan.  

1.  Use the "+" Icon on the top bar.

2.  Use the main menu.  

1. On the homepage, click the "+" icon.  The drop down menu will populate.  Click "plan."

OR

2. From the main menu, click "MTSS > Plans > New Plan"

1. Input the student name in the "Student Search" bar.

2. Wait for the student you want to show up and click on them.

Choose the Plan type and enter a description for the plan.

ion Auto-Generated Plans

Some ion functions will automatically generate new plans.

(1) When creating intervention groups, ion will automatically generate a student plan.  

(2) If a district has scheduled a sync with an assessment vendor that includes benchmark and / or progress monitoring data, plans may be automatically created even if the district hasn't built out the dictionaries in the MTSS module.

Managing Permissions for Plans

For staff to view and manage plans, permission settings need to be set for the users.  In order to Manage Permissions, a user must have Administrative Access.

Viewing Plans

Dashboard for Active and Archived Plans

1.  Click the plan icon and toggle between Active and Archived Plans

2. Got to MTSS>Plans>Active Plans and toggle between Active and Archived Plans

3. Dashboards are sortable and searchable.  Click on the column headings to sort.  Enter search information in the box and the items will populate.

If a student leaves the district and returns, using the same student ID# will ensure historical data remains intact.

Viewing Plans in Other Modules

The ability to see whether or not a student has a plan is also available when accessing other modules.  Users will only see information and students that they have permissions to see.

1. Data walls will have a hyperlink next to the student name.   Click to view the student plan information.

2. Student Profile - MTSS Tab.  Click the MTSS Tab.  Then toggle between skill and plan history. Click the hyperlinked name to access the student plan page.

3. Individual Cases - The student page populates skill graphs - current and historical.  The timeline will provide historical information about the plan.  Click on hyperlinks to view details.

4. Student Plan Page - Overview tab will provide the information requested - current or archived.  Click the skill hyperlinks to view the skill graph.

5. Intervention Group Detail Page - View graphed progress monitors by cohort, view individual progress monitor scores, current goals, ROI.  Click hyperlinked student names to access student plan page.

Closing and Archiving Plans

A student plan can be closed at any point during the school year.  

Closing plans is strongly recommended at the end of a school year, and ion provides an operation to do a bulk closeout of all student plans.

Closing plans clarifies current and historical information within a school year.  When student plans are closed, they are archived and visible as long as the student is in the district.

Plans can be closed by these actions:

1. Perform the "Bulk Operations" at the end of a school year to close all plans.  Those with district administrative permissions will have the "Admin" tab on the drop down menu (see below). Choose the close date, make sure the selections are correct, and then click "close selected."  This operation must be performed for each school.   It is recommended that users receive training on Year End Close Out Procedures BEFORE attempting this task.

2. Close the plan on the student plan page. Those with permissions to Manage Plans will be able to perform this task.  

These operations require permission settings.  Bulk Operations is an Administrative Task.  The other option requires permissions settings in the "Plans" section.  See Managing Permissions to learn more.

Deleting Plans

Any plan that has data attached to it should NOT be deleted.  If a plan was opened and there has not been any data attached to the plan, the plan can be deleted.  However, if a plan was opened and there is a benchmark or progress monitor entered, do not delete.

Do not delete plans that have benchmarks or progress monitors attached.
